Staff and Maintenance

Introduction

The two key components which keep any festival running are the staff and the acts. It is arguable which is the most important. Festivals present something of a perfect storm to untrained and inexperienced staff. Having venue personnel that are experienced and trained can significantly reduce the risk to all parties.

Some venues are fortunate to have a wide range of staff at hand, controlling each element of the venue to ensure consistency and professionalism throughout. The table below highlights the comparison between a purpose-built event venue like a Showground with its permanent staff, and a Greenfield site, such as a field or a farm and what each is able to offer festival organisers.

Operations Team

An operations team at a Showground will usually comprise experienced individuals with a wealth of knowledge and understanding of the events industry. Main areas of the role include:

  • show practicalities/logistics
  • show administration
  • onsite health & safety management
  • managing show budgets
  • client relationships
  • venue & contractor relationships
  • local promotion & marketing

The team's background in the industry should present a festival organiser with a sophisticated and professional asset to the organisation of their event. As an operation team for a showground, they have the responsibility of managing all operational procedures, from the day to day running of the site to supporting the numerous organiser teams for events being held at the venue. For a festival organiser, utilising this team of staff means having support in the planning, organising, staffing, monitoring and controlling of your event.

Events Management Team

An events management team within a showground is a beneficial resource for a festival organiser. Their core competencies in planning, organising and conducting a major event will provide an organiser with a solid foundation of support, accounting their knowledge, expertise and passion for events. This service ultimately adds another pillar towards the success of your event.

Facilities Team

A facilities team is accountable for services such as cleaning, security, parking, making sure the surrounding environment is in a suitable condition for any event, and providing assistance to staff, visitors and employees as necessary. They are also able to assist with the signage and alleviate pressure by helping the set-up process for the event itself.

Grounds Team

Festivals are notorious for leaving a shambolic aftermath, scattering the countryside with litter and waste, leaving a venue and its grounds severely damaged. In contrast, a showground will have a capable grounds maintenance team and like the other members of staff, they will work on-site at the venue. The grounds team is responsible for providing constant maintenance, particularly to the grassed areas, where the majority of the festival will take place. For a festival organiser, not only do you have an immaculate and attractive venue for your festival, but it also means the infrastructure is in place to restore the grounds back to their exceptional condition after the festival. Meaning the festival can return year on year.
